Booth selection order is based on a first-come, first-served basis. After exhibitor registration payment is processed, you will receive an email via eShow with your date/time to select your booth (be sure to check your SPAM folder). There will be a link and password provided and you'll be able to view the floorplan and current booth availability. Note: the Expo Hall floorplan is a LIVE document – CAI CANNOT guarantee the booths that are available today, will be available once it is your turn to select. CAI does NOT reserve booths.

- Your company is listed in the expo hall flyer as a mystery booth participant, and CAI will provide a Mystery Booth Participant table tent sign to display at your booth

Over the years, CAI's Annual Conference exhibitors have been targeted by companies and/or representatives offering discounted shipping services, lower sleeping room rates and/or the selling of our attendee list. In response, we want to alert of you of this activity to help limit your exposure to these attempts.
Should you receive an email and/or phone call from an unfamiliar source, please note these entities are in no way affiliated with CAI, nor any of our third parties, nor our official conference hotel. Anything being offered should be considered inaccurate and fraudulent.
The use of our association name and/or logo by these companies/representatives has been created without CAI's consent. While we cannot stop these solicitations, we do appreciate being kept in the loop. If you are targeted, please reach out to your CAI Exhibitor contacts.

COVID-19 Code of Conduct
CAI's Conference Code of Conduct Personal actions supporting the collective wellbeing.
A code of conduct is a collection of rules and regulations that include what is and is not acceptable or expected behavior. Responsibility is shared equally among event organizers, the event venues and the event attendees – all have a role to play.
Based on our common set of beliefs in the value of live event experiences we know to be true, as stakeholders we all have a role to play in the mitigation of risk. The code of conduct below is meant to serve as a reminder and inspiration to know that if we all collectively respect the significance of this contribution, we are by definition advocating for the well-being of our fellow global citizens and our industry.
Before Leaving Home
- Follow relevant guidance provided by the Center for Disease Control and Prevention (CDC), or your local health authority.
- Adhere to government issued travel restrictions and guidance issued by the region you will be travelling to and the region you are travelling from.
- Evaluate your own health and that of people you are in close contact with; contact the meeting/event organizers if you have concerns.
- Stay home if you feel sick.
On-site During the Event
- Follow guidance from the local health authority, for everyday preventive actions to help prevent the spread of respiratory viruses including:
- Washing hands often with soap and water for at least 20 seconds, or an alcohol-based sanitizer with at least 60% alcohol.
- Avoiding touching eyes, nose, and mouth with unwashed hands.
- Covering your nose and mouth when coughing or sneezing. Throw used tissues in the trash.
- Cleaning and disinfecting frequently touched objects and surfaces using a regular household cleaning spray or wipe.
- Agree to wear a mask or facial covering, if required by the event organizers.
- Adhere to social distance protocols put in place by the event organizers and respect others' personal space.
- Go to the Hotel's First Aid office (or equivalent) at any time if you feel unwell or are experiencing flu-like symptoms.
- Failure to follow local health authority requirements at the time of the meeting – Individual will be asked to leave the meeting and will not receive a refund
Post-event
Based on current contact tracing advice from many health authorities, if you test positive for COVID-19 up to 14 days after returning home, please contact the meeting/event organizers to advise them.
What to Wear
CAI's Annual Conference and Exposition is a professional event, so business casual wear is encouraged.
Consent to Use of Photographic Images
Registration and attendance at, or participation in, CAIs Annual Conference & Exposition constitutes an agreement by the registrant to CAI's use and distribution (both now and in the future) of the registrant or attendee's image or voice in photographs, videotapes, electronic reproductions and audiotapes.
Exhibit Eligibility
Exhibiting companies will be limited to those providing services, products or publications that are directly applicable to managers of community associations, homeowner leaders in community associations and business partners that service community associations.
Terms and Policies
Full payment must be received before CAI holds expo booth space. CAI reserves the right to refuse any exhibitor and/or sponsorship application or to cancel any prepaid exhibitor and/or sponsorship it deems appropriate to avoid conflicts of interest. CAI will refund payments for canceled sponsorships. Sponsorship refunds or cancellations cannot be made after any promotional materials have been created.
Cancellation
All payments will be refunded if notification of cancellation is received in writing by March 15, 2021. No refunds will be made after March 15, 2021. Email cancellation request to Lauren Piontek, lpiontek@caionline.org and Carly Reid, creid@caionline.org.
Staffing of Exhibits
Exhibits must be staffed at all times during exhibit hours. CAI requests strict adherence to the opening and closing hours. It is imperative that no exhibitor begins dismantling, packing or teardown of their space until end of expo hours on Friday, August 20.
Failure to Occupy Space
Space not occupied by the close of the installation period will be forfeited, and space may be resold, reassigned or used by CAI. No refunds will be made for failure to occupy space.
Private Party Policy
All hospitality suites and hosted events must be approved by CAI. Hospitality suites/hosted events are not permitted during official conference activities. Non-exhibiting companies/groups/individuals are not permitted to host OR attend events at the official hotel during the conference. CAI Suitcasing Policy
CAI has a no-tolerance policy regarding “suitcasing," which describes the practice by nonexhibiting companies or individuals of soliciting sales or sales leads in conference hotel, on the tradeshow floor, in the aisles or lobbies and/or representing their services or soliciting conference participants for conflicting social activities (including Chapter Party) and wearing company logo wear. This also applies to Virtual Attendees. The use of company logos on virtual backgrounds, wearing logo clothing virtually, and solicitation to sell your product virtually in the conference platform is considered suitcasing.
Nonexhibiting suppliers participating in the conference as attendees or speakers are prohibited from soliciting business on the tradeshow floor, in or after sessions, in the conference hotel, or in the conference virtual platform.
It is considered bad form to conduct business outside of your booth. Talking to clients or prospects in or in front of someone else's booth is also a violation of CAI policy and will not be tolerated. All parts of the exhibit must remain in exhibitor's assigned space. No exhibit will be allowed to infringe upon aisle space.
Violators of these policies will be ejected from the show and charged the single-booth rate ($2,300), which must be paid prior to registering as an attendee, exhibitor, or sponsor at any future CAI conference or other event. In addition, CAI will have the hotel cancel the illegal function at violator's expense.
Anti-Harrassment Policy
In order to provide all participants at events, including members and other attendees, speakers, exhibitors, sponsors, employees, and volunteers, the opportunity to interact professionally and benefit from the event, CAI is committed to providing a safe and productive environment free of discrimination, hostility, harassment, and retaliation based on race, color, religion, sex, sexual orientation, gender identity or expression, age, disability, marital status, citizenship, or any other characteristic protected by law. CAI has a zero-tolerance policy for discrimination, harassment, and retaliation and is committed to enforcing this policy at all CAI events.
